Who we are

Yorkshire Coast Gardening Services (“we”, “us”) is the data controller for personal data collected through this website and during the delivery of our gardening services. We are registered with the UK Information Commissioner’s Office. You can reach us at info@ycgs.co.uk or by writing to Yorkshire Coast Gardening Services, Scarborough, YO11 2NJ.

What we collect

  • Account details — name, email, mobile number, billing/service address.
  • Booking details — services requested, access notes, garden photos taken by our team.
  • Payment details — handled directly by Stripe; we don’t see or store full card numbers.
  • Communications — emails, SMS exchanges, call notes.
  • Technical data — IP address, browser, pages viewed (anonymised via Plausible analytics, no cookies).

Why we use it

  • Delivering the services you’ve booked (contract).
  • Operational SMS and email — booking confirmations, on-the-way alerts, completion (legitimate interest).
  • Invoicing and payment processing (contract).
  • Replying to enquiries (legitimate interest).
  • Marketing emails — only if you’ve opted in (consent). You can opt out any time.
  • Legal and accounting record-keeping (legal obligation).

Who we share it with

We share only what’s necessary, with:

  • Stripe (payments, UK)
  • Brevo (transactional email and SMS, EU)
  • Our accountant (annual returns)
  • HMRC / other authorities where legally required

We never sell your data.

How long we keep it

Customer records: 7 years after your last booking (HMRC requirement). Job photos: 2 years unless you ask us to remove them sooner. Marketing list: until you unsubscribe. Inactive enquiries: 12 months.

Your rights

Under UK GDPR you have the right to access, correct, delete, restrict, port or object to the use of your personal data. Email us at info@ycgs.co.uk and we’ll respond within 30 days. You can also complain to the ICO.

Cookies

We use only essential cookies (session and authentication). We use Plausible for cookie-free, privacy-friendly analytics — see our Cookies notice.

Changes

If we make material changes to this notice we’ll email registered customers and post a notice on this page.
